Olympics volunteers test

The test to find the best position for Olympic volunteers

Olympics volunteering test project cover

Year: 2021-2022

My role: UX/UI designer

Company: Project made with AssessFirst for the Paris2024 Organization, which holds the 2024 Olympic Games in Paris.

Team: On this project I worked together with other members of AF, such as the head of Science and the integrator, who was also responsible for accessibility. I also had the opportunity to collaborate with the head of the Paris 2024 Volunteering Program.

Introduction

The Paris 2024 Olympic Games will be a great event that will require a large number of volunteers since many fronts will have to be covered. It is very important to take care of the experience of everyone, athletes, attendees, volunteers and even people watching the games from home.

For it to work, volunteers need to be assigned to areas where their potential for success is high, so that they can do a good work and therefore the athletes and attendees have an enjoyable experience, but they also need to be areas where the volunteers’ fulfillment potential is great, for their satisfaction to be assured.

Therefore, there was a need to evaluate the personality and motivations of the volunteers to know their adequacy to the different volunteer positions and also to allow users select the positions in which they are interested.

The process

1. Discovery: Definition of the technical and user needs.

2. Product definition: Design of the user flow, definition of the content, creation of first mock ups, and exchange with Paris2024 Volunteering manager.

3. Design: Accessibility audit and final designs for the application wireframes on Paris2024 Volunteering brand.

Discovery

Our company would work on the volunteer evaluation test and on the results and selection page. The rest of the volunteer registration would be managed by another team.

To design the best possible experience, the first thing to do was analyze the needs and desires of users:

1

Users want to contribute to this special and universal event by giving their best as volunteers in an area they enjoy.

2

Most users want to register with their mobile phone, but registration on a computer is also highly required, and to a lesser extent, also registration on a tablet.

3

Users need to pass the test to register and volunteer.

4

Users want to see their adequacy results for each volunteer area after passing the test.

5

Users want to have basic information about each volunteer area.

6

Users wish to select the areas in which they will volunteer.

7

Users need to send their results to the organization so that it can assign them to the best position for them.

AssessFirst’s predictive model algorithm calculates the fit between people and different jobs based on a personality test and a motivation test. For the Paris 2024 volunteer evaluation, some adjustments should be made:

Olympics models

The predictive model algorithm should be adapted to the values and volunteer position of the Paris 2024 organization.

París 2024 branding

The style of the product should follow the branding and design system of the Paris 2024 organization.

Mobile first

Although the test should be accessible from any device, the mobile phone would be the most used.

Product definition

Once the technical and user needs were specified, we were able to define the user journey:

Olympics volunteering test flow

The tests would have the same structure as those of AssessFirst, only a reminder of how the test works would need to be included. The test tutorial screen should also be adapted and include a language selector.

Some new screens should be designed. The evaluation process needed an introduction screen explaining the test in which the user would have to accept the conditions before starting.

With the Head of Science at AssessFirst, we defined the content of the results page. We proposed a first block dedicated to the values of the organization in which to show the 3 values with the best adequation of the volunteers. Below, the list of volunteer areas would be displayed, with the adequacy result for each, a small description of the area and a toggle so that the volunteer could activate or deactivate that area. Lastly, the page would include a button to send the results to the organization. We included this button above and below, so that users wouldn’t miss that action.

The first block of results, dedicated to values, would include a link that would open the values page of the Paris 2024 organization in a new tab, where volunteers could read about them.

A modal was also needed to warn users if they were about to leave the page without submitting their results.

We shared the mockups with the head of the volunteering program and collected her feedback so we could make the appropriate improvements to the design.

1

In order for users to focus on the results of the volunteer positions, the values block would be removed.

2

The link to the values page was not necessary since the page would be accessible on the official Paris 2024 website.

3

To ensure that users see the results before submitting them, there would only be one button at the bottom

Design

With the organization feedback and the Paris 2024 brand guide that they provided me, I created the wireframes, which I shared with the HTML/CSS integrator. Once the application was coded,  accessibility audit was carried out.

Most of the accessibility issues found were related to branding decisions, so they were reported to the organization. For our part, we had a few improvements to make in relation to the size and weight of some texts. Once the problems were solved, I was able to create the final design of the evaluation test.

Project conclusions

The project was not complex, it was partly an adaptation of our own material, and what was not was very concrete and straight forward. However, it was very interesting to be part of such a universal project in which accessibility, correct application of the brand and respect for the organization’s values were essential. Working on it allowed me to learn more about the organization, its objectives and its values.

It felt good to be part of the project and, like the volunteers, contribute my small grain of sand to create a better experience for everyone at the Olympic Games.
